Coming from Cloud 1 – What's New?

Welcome to the new TimeMoto Cloud. In the past years, we have received a lot of feedback from our users, which we used to make a new and improved environment for an optimized experience. This comes with quite some changes, especially if you are already familiar with the previous Cloud. Do you want to know the more significant differences? Then this is the right article for you!

The main changes include:

  1. Employee Privileges
  2. Effective Date
  3. Pay Classes / Pay Templates
  4. Overtime Management

Employee Privileges

With the new Cloud environment, the terminology of the access privileges have changed:

Read-only Restrictions

We also removed the read-only option. Instead, employees with the privilege "User" can now have extended Viewing Limits:

  • Fully restricted limits a User to only see their own data.
  • Assigned locations allows a User to view attendance data from employees assigned to the same location as them.
  • Assigned departments allows a User to view attendance data from employees assigned to the same departments as them.
  • All employees allows a User to view attendance data of all other employees. However, they cannot change data or access personal information!

Effective Date

In the past, we have received many questions about changing existing settings and how this affects the employee's past settings (like schedule changes). In the new Cloud, all changes will prompt a window to specify whether the change should take effect now or in the past from a specific effective date on.

Changes took effect on all data. Changes take effect from the day after they were saved.
There is no date you can set. You can set an Effective Date to make a change retroactively.

Pay Classes / Pay Templates

In the new Cloud environment, terminology and functionality of the pay classes have changed.

What do I use a pay template for?

Pay templates define not only the hourly rate or currency to prepare the payroll. They also give you a tool to create pay categories to organize your payment in advance. What is considered basic payment, and what exceptional? Use rules and conditions to define exceptional pay categories such as overtime or additional payment for night shifts.

Overtime Management

One of the most impactful changes is the more flexible overtime management feature. TimeMoto now differentiates time balance and actual overtime to give you more flexibility when defining overtime and its payment or settlement.

Define overtime for an employee with an individual pay template (please make sure you have read the full article). 

Choose how you want to process overtime further. You can:

  • add it to the total payout of the Pay Report.
  • add it to a Flexibank Balance. This can be used as an extra vacation budget to compensate for the worked time.
  • delete it. 

You can also use multiple ways simultaneously, as long as they add up to the overtime total.

Overtime is solely based on the Timesheet balance. There is no way to differentiate Timesheet balance and overtime. A manager defines overtime with pay templates. It will be shown in the Pay Reports. Time balance and overtime can differ according to the contract.
You can add or deduct hours to the overtime balance in the Overtime Management. This will affect the Timesheet balance. Use the Pay Report to process overtime. Convert overtime into additional time off, payment, or delete it. This doesn't affect the Timesheet.
