Schedule Types

When adding a new schedule to your schedules page, there are quite a few things you can set up to reflect your employee's working situation most accurately. In this article, we take a look at the Schedule Types. As one of the first settings for your new schedule, every schedule type is designed for a specific way of working and timekeeping. Let's take a closer look at each one of them.

Fixed Time Schedule

Fixed Time Schedules use fixed start and end times to determine when exactly and ultimately how long your employee has to work. You can define these start and end times for each day of the week separately.

Once you click on [Fixed Time Schedule] as your preferred option, you can select the day(s) of the week on which the schedule should be active. You can then set the expected start/end times the employee has to follow. 

Example

Let's say your employees have to work from Monday to Friday from 08:00 until 17:00. In that case, you check the boxes for Monday, Tuesday, Wednesday, Thursday and Friday. Then, you can enter 08:00 next to [From] and 17:00 next to [to].

Different Shifts

If these times differ between days of the week, you can always add a new line to add new start and end times by checking the box in front of the second row. Make sure you always select the correct days of the week in each line so that the times apply to the right days. You can add as many lines as necessary to the schedule.

Example

Let's say your employees must work from Monday to Thursday from 08:00 to 17:00 and Friday from 08:00 to 14:30. In the first row, check the boxes for Monday, Tuesday, Wednesday and Thursday. Then, enter 08:00 next to [From] and 17:00 next to [to]. Now, check the option [Add row] below. Check the box for Friday on the next row and insert 8:00 next to [From] and 14:30 next to [to]. If you followed the steps correctly, all hours should apply to the correct days.

Fixed Duration Schedule

Instead of working between specific start and end times, Fixed Duration Schedules only check for the number of hours an employee is supposed to work for each day of the week. Employees can decide when to work during the day as long as they fulfil the total number of hours at the end. Like the Fixed Time Schedule, the Fixed Duration Schedule lets you specify each day of the week separately so that it works out even if every day of the week has different shift durations.

Once you click on [Fixed Duration Schedule] as your preferred option, you can select the day(s) of the week on which the schedule should be active by inserting the respective number of hours per day. If you leave a day empty, it counts as no shift planned.

Example

Let's say your employees must work from Monday to Thursday for 8:00 hours and Friday for 6:00. In that case, you insert "8" into the fields for Monday, Tuesday, Wednesday and Thursday, and "6" into the field for Friday. Leave Saturday and Sunday empty.

Core Times

For TimeMoto Plus customers, the Fixed Duration Schedule includes a second setting called Core Times. Core Times are incorporated start and end times that usually account only for a part of the shift, leaving the rest up to the employee's self-management.

Example

If an employee is supposed to work 8 hours on a Monday, Core Times could also specify that the employee must be present between 10:00 and 16:00 (for instance, to cover the phone hours). The other 2 hours can be fulfilled at any time, whether earlier, later, or even split between before and after the core times.

Flexible Hours Schedule

As our final option, Flexible Hours Schedules differ slightly from the other two schedule types. There are no fixed times nor fixed days the employee has to work. Instead, the schedule defines a set number of hours per week (or even per month). The employee can then self-manage their work flexibly within this period.

Once you click on [Flexible Hours Schedule] as your preferred option, you can select the periodicity of the schedule, either weekly or monthly. Then fill in the number of hours the employee has to fulfil within this period.

Example

Let's say you hire your employees full-time for 40 hours per week. They can work anytime they want, so there is no exact day in the week to be specified. In that case, choose [Week] as your periodicity and then insert "40" into the field [hours].

Absence Duration

For TimeMoto Plus customers, the Flexible Hours Schedule includes a second setting called Absence Duration. Since this schedule type works very flexibly, there is no way to precisely determine the duration of a full-day absence. For this, we offer the option to fill in the expected hours of such an absence for each day of the week separately.
