Flexible Hours Schedules in the Calendar

In the article about the Calendar, we already learned how to read and use the 4-level planning of TimeMoto Cloud. But how is this feature affected by Flexible Hours Schedules? Let's go through it from start to finish!
Viewing Flexible Hours Schedules in the Calendar
Any Flexible Hours Schedule assigned to an employee is displayed equally for every day of the scheduled period. That doesn't necessarily mean the employee needs to work every day. Instead, displaying the schedule like this means that it applies to every day of the week (or month), during which the employee can manage their work freely. The schedule only compares worked and scheduled time at the end of each period.
In the daily view, you can see the schedule spans over 24 hours, similar to how the Fixed Duration Schedule is shown in the daily view. Again, employees won't have to work all 24 hours. It just indicates they can work at any time of day.
Using Flexible Hours Schedules in the Calendar
Just like any other schedule type, Flexible Hours Schedules can be assigned to employees via the calendar. Click on one day of the period you want this schedule to apply, switch to the Activity Type [Schedule]
, and select the schedule of your choice in the dropdown menu below.
The schedule can only be assigned to full periods, so even if you select a single day, TimeMoto will apply the schedule to the entire week or month, depending on the schedule's periodicity.
Start Date
Remember that a Flexible Hours Schedule means the employee can work any day within a week (or month). Considering this detail, any schedule based on this type can only be planned for an entire week (or month) beginning with the first day of the week (or the first of the month).
Tip: If you're unsure about the first day of the week, check this detail in the "Regional Information" section of your
[General Information]
settings.
End Date
Consequentially, any Flexible Hours Schedule has to end on the last day of the week (or month). If you use the "Repeat" option, any "end by" date has to be on the last day of the last week (or month) of the repetition.
Good to know: Don't worry! TimeMoto keeps these rules in mind at all times, so the system prevents you from accidentally setting up any incorrect dates, to begin with.
Deleting Flexible Hours Schedules from the Calendar
If you have assigned a schedule via the calendar, you can usually edit or delete specific days of the schedule individually to make temporary changes. However, when the schedule is based on a Flexible Hours Schedule, you cannot delete single days of a schedule's week or month (depending on the periodicity), only the entire period.
If you want the employee not to work on a specific date only, please use the option Add absence
instead.
Furthermore, you cannot edit the schedule for specific days since a Flexible Hours Schedule is supposed to be a flexible period without any specific day-by-day planning. The option Edit activity
is not available for this schedule type. If you need specific planning changes for a certain period (or part of it), we advise switching to a different schedule type for this period.
Note: If you have assigned a schedule via the Employee Card, you cannot interact with it from the calendar directly. Any changes have to be managed via the Employee Card instead!
