Adding and Editing Clocking Actions

Usually, all clocking actions will be taken live at the time clocks or directly in the TimeMoto Cloud web or smartphone app. However, sometimes an employee may have forgotten to clock in, or someone has chosen the wrong type of clocking action.

Adding Missing Clocking Actions

In any case, you can add missing clocking actions on the Timesheet page of the Reports section by clicking on the button "Add clocking" in the upper right.

A window will appear where you can select the employee and the date of the missing clocking action. Once you have set up everything, press "Add" to proceed further.

Next up, you see the editing page of your employee's clocking actions. At the top, you can see the employee's name and date. On the left, you see all clocking actions that are considered Clock-in types (Clock in, Return), as opposed to the Clock-out types on the right side (Clock out, Break). Add your missing clocking action on the correct side. Optionally you can add a Project, a Location and or a comment.

Editing the employee's presence

Please take into consideration that TimeMoto is checking all attendance data for mistakes, which means that the system checks at the end of the day that the clocking sequence is correct. If a shift doesn't end before the next day (e.g., during a night shift), you can check the switch under the clock-out action that says "Shift ends on the following day" to avoid error messages.

Done! Once you have added the clocking action(s), click "Edit / Save presence" on the bottom right to save your changes.

Editing Clocking Actions

Sometimes there is already attendance data existing for the date you have to add or edit a clocking action. In that case, you can look for the date and employee in your timesheet (don't forget to select the daily view!). A day with a missing clocking action will be marked with a red circled exclamation point. Hovering over that symbol will tell you what is wrong or missing.

To edit the attendance data click on the plus symbol (or one of the existing timestamps) to go to the editing screen. This is the same as explained above. 

If you have to delete a wrong clocking action, you can also delete it by clicking on the trashcan icon next to the action. You can also change any information of an existing clocking action in the same fashion as if you were adding a new one (you don't have to delete it).

For more than two clocking actions, you can add another row by clicking the plus symbol. Note that every row has to be closed with a clock-out type of action. Every OUT action has to be followed with the correct IN action if you extend a sequence. A Break action has to be followed by a Return action. A Clock Out action has to be followed by a Clock In action if the employee returns to work.

Once you have added (or edited) all clocking actions, click "Edit presence" on the bottom right to save your changes.

Changelog

To guarantee full transparency. TimeMoto offers a changelog that protocols all amendment that has been made to an existing attendance. Even if you delete a clocking action, it will only be deleted for the reports. If you need to know what happened to a clocking action prior, go to the editing window of the clocking action and click on [Changelog] in the bottom left corner.

In the changelog, you can check the date and time of a change, by whom the action was performed, and what kind of action it was.

Note: A changelog cannot be deleted or altered by anyone. This will help you guarantee that your time attendance will not be manipulated by anyone without you knowing.
