Geolocation

Note: Can't find this in your Cloud? This feature is available with the Essential or Plus Plan of TimeMoto Cloud. If you want to get the most out of your TimeMoto account, make sure to upgrade your plan to your needs!
As one of our advanced features, Geolocation makes it possible to track the exact location at which an employee has registered their working time. Depending on your settings, this can be used to check your employee's whereabouts or even specify where your employee can work at all.
How does Geolocation work?
There are two ways of locating an employee:
1) Clocking at known locations
The employee can clock in at an already known location via a device, browser app or mobile app. To use any of these, make sure you have provided the correct setup:
- Employees can only use time clocks at locations allocated to them in their [Employee Card]. If an employee has no allocated locations, they may use all devices connected to your account.
- Employees can clock via browser/mobile app if you activate the switch "Allow online clocking" in their [Employee Card]. Furthermore, an employee can use mobile clocking at known locations that allow mobile clocking. Make sure to check the switch in the [Locations] settings.
2) Clocking at a new location
The employee can use the mobile app to clock at a new location that hasn't been added to TimeMoto Cloud yet. The employee needs permission to "Create Locations" (see below).
How can I check my employee's Geolocation?
Either way, you can then check the employee's Geolocation under the "Today's Attendance" section on the Timekeeping page. Find the clocking location below the employee's name.
Good to know: Alternatively, you can also find an employee's Geolocation in the Timesheet under the column "Clocking Location".
How do I set up Geolocation?
General Settings
First, let's look at your default settings:
You can find your general Geolocation settings by opening the dropdown menu in the top right corner and then clicking on [Settings]. If you have already opened another settings page, go to the left and select [General Information].
If you scroll down, you will find [Geolocation].
You can select whether you want to allow or disallow by default that employees can create locations with clocking via the app.
Employee Settings
Now let's look at the single employee's settings:
You can allow individual employees to create (or prevent them from creating) new locations with a mobile clocking action. Please check the box [Create Locations] under the "Position" settings in the [Employee Card].
- Choose "allowed" to always allow the employee to create locations.
- Select "not allowed" to always disallow the employee to create a location.
- Select "default" to make it up to the setting under [General Information] whether the employee can create locations or not (see above).
Geofencing

If the Geofencing feature is activated, employees are unable to clock outside of a predetermined radius of a location, and employees who clock within the range will register their attendance at the determined location, even if they use the TimeMoto mobile app or browser.
You can set the Geofencing Default Range (in meters or yards) in your Geolocation settings under [General Information]. We recommend a minimum range of 25 meters (or 27 yards) to compensate for the inaccuracies of GPS.

Note: If your employee(s) can create new locations, Geofencing will only prevent them from registering at a specific clocking location outside of the set radius. It will not prevent them from clocking at all. Clocking outside of the Geofencing radius will create a new location. This way, you can still check if an employee actually works at the location they are supposed to.
Geofencing & Browser
Note: Geofencing applies to mobile clocking with the TimeMoto Mobile App. It does not apply to employees using the TimeMoto Cloud browser application.
